Administrative Assistant 2 (On-site)

Areas of Responsibility and Job Requirements:
The Administrative Assistant is the first point of contact for residents and guests visiting our management office and provides administrative support to the various departmental functions occurring within the management office.
Responsibilities include, but are not limited to:
- Superior organizational, interpersonal, and time-management skills, detail-oriented, efficient, multitasker, flexible, and eager to learn.
- Greet residents entering the management office professionally and courteously.
- Provide office support with all day-to-day administrative functions such as answering the phones, resolving resident issues, taking memos, generating and mailing reminder notices and waivers, managing and distributing daily correspondence
- Manage resident requests and all incoming work orders needing repairs, assign and distribute work to the appropriate maintenance staff, schedule inspections, repairs, etc. with residents
- Daily follow-up with residents and vendors to schedule and confirm repair appointments
- Create work orders based on the on-call emergency calls received after hours and on the weekend.
- Daily update, maintains and tracks, and closes out work orders as they are returned by maintenance staff
- Work with the AGM to create and track resident data information consisting of move-ins/outs, re-certifications, etc.
- Schedule recertification appointments, track income documentation, and waivers
- Monitor and manage inventory for supplies, equipment, and appliances. Ensure that the equipment sign-in/sign-out log is up to date and accurate alert the supervisor and/or management if supplies are running low and provide a weekly list inventory to be ordered.
- Work closely with AGM on violation mitigation repairs
- Coordinate extermination services with the vendor and tenant.
- Other assignments as directed by the supervisor
Minimum Education Requirements:
High School Diploma or equivalency
Minimum Years of Experience Required:
- 3+ years of comparable administrative work experience
- 2 years in Customer Service focused role, preferred
- 1 year in a Front Desk focused role, preferred
Additional Knowledge, Skills, and Abilities:
- Experience with Microsoft Word, Excel,
- Proficiency in Site Compli, Happy Co. Yardi, and RentCafe, preferred
- Detail-oriented with the ability to multi-task and maintain organization in a fast-paced environment

Assistant Director of Social Services (Hybrid)

Areas of Responsibility and Job Requirements:
Provides support and referral services to “at risk” population in subsidized multifamily properties. These services promote and enable independent living and aging in place to prevent premature or unnecessary institutionalization. Provide assessment, advocacy, brief counseling, eviction prevention, referral services, collaborate with other management depts to best assist residents. Perform community outreach and education. - Focus on Quality Assurance of internal Supportive Housing operations
- Provide management and clinical assistance to third-party Supportive Housing Staff and Residents

- Collaborate with members of the community and other stakeholders to identify the types of programs and services that are needed

- Establish methods to gather information about the impact of their programs

Minimum Education Requirements:

Responsible for the requisition, collection, and monitoring of subsidy funds (including, but not limited to, HPD Section 8 subsidy, NYCHA Section 8 subsidy, CVR Section 8 subsidy, City FHEPS, and FHEPS). This role involves liaising between properties, clients, and state and city agencies, providing training, and ensuring compliance with HUD and government agency submission requirements.

- Ensure all new tenants funds are received timely, and any delays are communicated and researched.
Minimum Education Requirements:
- Bachelor’s degree preferred or a combination of work experience, education and professional designations, certifications
- Preferred Certifications: RAM, ARM, AHM, LIHTC and CPM
Minimum Years of Experience Required:
- 2+ years of experience in Property Management Operational role(s) with a college degree -or-

Corporate Portfolio Manager (Hybrid)

Transitions
The primary focus of this position is to oversee and direct property transitions in and out of C&C for both accounting and property management functions. We develop, acquire, and sell assets. Each type of deal requires a transition between internal or external department and/or companies.
Responsibilities include, but are not limited to:
- Oversee and direct property transitions in and out of C&C for both accounting and property management functions
- This includes different transition types such as an acquisition from an external seller, a new development through TCO and leasing, and transitions from a property in development through permanent financing and over to asset management oversite.
- Create and maintain project checklist to verify that transition tasks are completed timely and accurately
- This role will require you to work with a multitude of different departments including but not limited to; accounting, IT, asset management, property management, leasing, banking, compliance, construction, sellers, buyers, outside agencies, and lenders to fully coordinate the proper onboarding or offloading of the asset.
- Each respective deal will have its own requirements, and it will be your responsibility to review the org charts, managing agreement, operating agreements, and speak with each team for their requirements to ensure we have a smooth transition. Some deals require an analysis at a specified period (ex 9-month analysis and true-up between buyers and sellers) and you will be involved with the deal until all criteria for the transition are met.
- Interface with outside owners/property managers to ensure transition documents are sent or received quickly to avoid delays in the process. This will include filing grants, applications, and utility and compliance items needed for the property.
- Develop core transition checklist by working with individual department heads to ensure that specific transition needs are met. You will be leading high level weekly meetings for all assets transitioning in and out as well as smaller meetings for each specific transition.
Special Projects
Transitions ebb and flow and there will be periods of time where there won’t be any active transitions taking place. During times with no active transitions, there are short- and long-term projects that will need to be implemented for the accounting department. You will be working with the Controller and Director of Accounting to go over projects needed. You will have a fully remote accountant reporting to you to facilitate and assign tasks to. The tasks will relate to increasing department efficiency or filling in gaps if there is a need for the position. Some examples would include reviewing tenant files for accuracy, consolidating vendor profiles, or higher-level projects reviewing big picture data and analytics portfolio wide.

Areas of Responsibility and Job Requirements:
The Market Rate Leasing Coordinator is responsible for supporting the leasing team in achieving a high level of customer service and high occupancy for the multi-site portfolio. The role encompasses aspects of administrative duties, sales and customer service. The Leasing Coordinator will assist with making appointments, processing applications, tenant correspondence, provide accurate weekly reporting, compile competitive market surveys, update advertising, among other leasing functions within the department. They will work closely with the Leasing Manager to support the overall workflow, communicate in a timely and effective manner, liaise with internal and external team members to support the department.
Responsibilities include, but are not limited to:
- Timely follow-up with leads, schedule and show occupied and unoccupied apartments
- Assist applicants and leasing team in gathering required documents, process leases, prepare lease files, provide timely introduction to Property Managers for new move-ins
- Support Leasing Manager with weekly/monthly reporting
- Work collaboratively with other team members to compile monthly comp reports
- Become familiar with full portfolio, cover leasing offices when needed
- Perform additional job functions as needed to assist in high performing leasing team
Minimum Education Requirements:
- High School Diploma or Equivalent
Minimum Years of Experience Required:
- 2+ years of leasing experience required
Additional Knowledge, Skills and Abilities:
- Must have direct experience in a customer-facing role
- Must have excellent communication skills
- Previous leasing/administrative experience preferred
- Strong organizational skills with high attention to detail
- Proficiency in computer applications including Microsoft Office
- Proficiency with Yardi, DocuSign, and On-Site, Funnel Leasing, preferred
Competencies/Essential Job Functions:

· Consistently maintain a professional, courteous attitude when dealing with residents, co-workers and the general public.

· Experience with snow removal and power floor cleaner, carpet shampoo machine, power drain cleaner etc.

Essential Job Functions:
· Ability to function both inside and outside in all types of weather.

Serves as primary interface between accounting and property management, and responsible for the creation of all property reports and mandatory filings.
Responsibilities include, but are not limited to:
- Develops annual budgets with possible reforecasts during the year in conjunction with management and Property Manager (PM).
- Prepares month and year end journal entries, recorded into Yardi (recurring).
- Conducts monthly review of cash flow statement with account analysis of significant budget variances. Communication with management and PM with respect to same.
- Reviews additional statements to be sent to investors/banks including, BS, AR, AP, etc.
- Reviews monthly L+M portfolio report
- Reviews of coding of general ledger accounts at least once quarterly, including payroll reconciliation
- Tracks escrow and reserve accounts; prepares periodic analysis to determine appropriateness of escrow amounts
- Works with property manager’s on requisitions from blocked replacement reserve/operating accounts.
- Prepares year end audit package including work papers, for submission to outside accountants
- Posts outside accountant’s year end journal entries and reconcile beginning year general ledger balances
- Tracks partner capital contributions and distributions for specific properties
Minimum Education Requirements:
- Bachelor’s degree in Accounting
Minimum Years of Experience Required:
- 2+ years of comparable experience
Additional Knowledge, Skills and Abilities:
- Strong knowledge of Excel and general computer skills, required
- Must demonstrate strong organization skills and ability to work with people
